About the opportunity
We are seeking a highly capable Executive Assistant & Office Administrator to join a small but impactful team. In this pivotal role, you will provide executive, administrative, and secretariat support to the Chief Executive Officer, Chair, and Board ensuring seamless operations and professional engagement with our valued stakeholders, including corporate members and government representatives.
This is a rare and rewarding opportunity to work closely with senior leaders, including CEOs and Executive Leadership teams of large corporations, as well as government, including ministers, MPs, departments and mayoral offices. Therefore, professionalism, clear communication, and the ability to build strong relationships will be critical to your success.
Key responsibilities
Manage executive calendars, including scheduling appointments, meetings and travel arrangements
Secretariat duties, including preparation and distribution of agendas, papers, minutes, and follow-up actions for meetings, including board meetings, subcommittees, taskforces and roundtables/ workshops
Coordinate logistics for meetings and events, including venue bookings, catering, parking arrangements and audiovisual equipment setup
Attendance at scheduled Board, subcommittee and taskforce meetings and events
Act as liaison between the Committee team, members and internal/external stakeholders including government, maintaining professional communication and building relationships to support our mission.
Prepare and distribute formal correspondence, supporting statutory reporting
Support financial reporting, manage business records and accounts, including invoicing
Review, maintenance and management of office policy, systems and processes
General administrative and project support as required
Recruitment support.
Please note: This role requires some flexibility to attend early morning or evening meetings and events, with advance notice. A minimum of two days per week on Mondays and Tuesdays in the Newcastle CBD office is required.

Adaptability & Resilience: Comfortable in a fast-paced environment with shifting priorities; staying composed and productive under pressure.
Digitally Proficient: Leverage office technology and project management tools to streamline workflows.
Strategic Thinking & Business Acumen: Understand how your work contributes to the bigger picture, anticipating needs and aligning with executive goals.
Initiative & Ownership: Take responsibility for tasks, with minimal oversight required and thrive with autonomy with the ability to take guidance
Time Management & Prioritisation: Ability to manage competing demands efficiently, focusing and communicate this accordingly to meet expectations.
